Position Title: Anesthesia Services Supervisor
Department: Department of Anesthesiology and Perioperative Medicine
Division: Anesthesiology and Critical Care
Reports to: Clinical Manager


The Anesthesia Services Supervisor is responsible for professional and specialized technical anesthesia services prior to, during and following surgical procedures to anesthesia providers in all anesthetizing locations. Under the direction of the Clinical Manager, the Supervisor of Anesthesia Services is responsible for ensuring the availability and proper working conditions of all anesthesia equipments, monitors and accessories. In conjunction with the Clinical Manager and Chair of Departmental Equipment Committee, is responsible for the acquisition and management of all anesthesia supplies and equipments.


1. Clinical Duties
1.1. Anesthesia Supplies and Equipment
a. Develop and sustain a quality control program for anesthesia equipments ensuring appropriate tracking mechanism to safeguard equipment, and ensure availability for clinical services.
b. Develop and implement system programs to guarantee safe, timely and accurate delivery of all necessary supplies for all anesthetizing locations. Assuring appropriate supply levels in anesthesia storage locations, workrooms and anesthesia carts. Timely removal of used equipments and supplies from anesthetizing locations. Assures anesthesia equipments and supplies are transported quickly and efficiently to requesting anesthetizing locations throughout the organization.
c. Maintain proper documentation, recording all routine checks, repairs and preventive maintenance. Ensure standards of care are maintained and legal requirements are met.
d. Develop and maintain a system that ensures tracking and reporting of capital and non-capital equipment.
e. Demonstrates aptitude and willingness to originate necessary action required by the job responsibilities, including troubleshooting processes and technical problems as related to point-of-service availability or working condition of anesthesia equipment or supplies. Oversees the ordering of supplies and equipments on a daily basis, and reports utilization to the designated Perioperative Inventory Tech for restocking to PAR levels.
f. Responsible for the troubleshooting maintenance, calibration, safety and repair of anesthesia equipments. Identifies and repairs, within limited time frames, any defective electronic or mechanical devices within the department. Arrange for external service repair as necessary; documents and reports service continuum to manager.
g. Works as a Staff Anesthesia Technician when necessary to support the anesthesia care team. Performs routine anesthetizing environment set-up.
h. Adheres to universal precautions in the OR suite and off-site locations. Wears proper safety apparel. Labels, removes from service and reports malfunctioning equipment to Biomedical supervisor. Follows procedures for infection control. Attends required in-services. Knows fire and safety plans.
i. Demonstrate the knowledge and skills necessary to provide age specific care and appropriate equipment and supplies for neonate, pediatric, adolescent, adult and geriatric patients. This is an indirect and direct patient care function.
j. Monitors surgery schedule and assists with the transfer of patients to and from areas in the institution.
k. Provide in-service to Anesthesia Technicians, CRNAs, faculty anesthesiologists, rotating student nurse anesthetists, residents and fellows regarding equipment operation, maintenance trouble shooting and repair.
l. Routinely enforces established hospital and departmental procedure and safety standards. Yearly in-service required on safety precautions.
m. Develops and implements competency design projects in conjunction with manager. The competency tools developed serve as a minimum practice standard for all anesthesia personnel.

1.2 Administrative Duties/Data Management:

a. May be required to organizes, prioritizes & plans daily activities. Completes assigned work within an appropriate time frame. Adjust to change by reorganizing priorities on an as needed basis.
b. Serves on various committees, participates at meetings, seminars and professional organization meeting in order to maintain awareness of the regulation, trends, changes, and new developments in both clinical and technical matters.
c. Defines and recommends changes in operating practices, where prudent.
d. Recommends amendments to Develop and administers policies and procedures, where appropriate.
e. Coordinate with other departments in the institution and attends administrative meetings as requested in order to represent the interests of the Department of Anesthesiology and Perioperative Medicine.
f. Gathers, combines, and compiles data from various sources on all equipment/products for anesthesia services.
g. Enters/maintains specific data into spreadsheets; databases.
h. Provides monthly, quarterly, or semi-annually reports for review by Clinical Manager, Operations Manager, Assistant Director or Division Director
i. Manages assigned files in compliance with state of Texas purchasing guidelines

1.3 Procurement/Capital Equipment Committee
a. Reviews annual service contracts to ensure adequate support coverage, realistic performance expectations, and appropriate cost utilizing database as implemented by department
b. Tracks contract renewals, leases, recalls, discontinued items
c. Participates on and coordinates the Capital Equipment Committee in conjunction with Chairman and Manager.
d. Obtains requested equipment literature, specifications, and quotes
e. Participates on the Institutional Value Analysis Team
f. In coordination with manager and Equipment Committee Chari Person, contacts vendors for sourcing, maintains knowledge of market and institutional trends to ensure best purchase price and availability.
g. Researches and identifies cost containment opportunities, and ensures that orders placed meet all existing Institutional guidelines and requirements
h. Assists department managers, supervisors and faculty to assure buying orders are complete and accurate
i. Follows-up on the delivery of all orders (both with external vendors and with the Materials Center)
j. Reconcile deliveries against orders to assure proper charges and credits are made. Works with Procurement Department to assure timely deliveries and competitive pricing on all supplies and equipment ordered
k. Anesthesia Services buyer, contacts vendors for sourcing, maintains knowledge of market and institutional trends to ensure best purchase price availability and innovations.
l. Enters data into Procurement's automated system, and follows-up on the delivery of all orders (both with external vendors and with the Materials Center)

1.4 Accounting/Reconciliation
a. Maintains account information on all equipment vendors and current equipment
b. Enters expenditures in computer database daily.
c. Bookkeeper for company centers for monthly reconciliation, maintaining and submits back-up documentation for expenses to reconciler within established timeline (90% compliance)
d. Researches and resolves expense discrepancies
e. Participates in audit process
f. Reports annual physical inventory for departmental capital equipment
g. Maintaining responsibility for departmental inventory codes

Job Description-Requirements EDUCATION: Required:
    • Associate's degree in a Physical or Biological Science or related field.
    • Bachelor's degree in a Physical or Biological Science or related field.
